Cold Rooms vs Walk-in Freezers: Choosing Commercial Cold Storage

Under-bench fridges carry you only so far. Once you're buying whole carcasses, taking bulk deliveries or cooking in batches, you need proper cold storage — and the choice between a cold room, a walk-in freezer and a bank of reach-ins shapes both your kitchen layout and your food bill.

This guide covers what each option actually is, how to size cold storage for your volume, the airflow and loading rules that keep it working, and the questions to answer before you buy.

The three options

  • Reach-in fridges and freezers — upright cabinets, one or two doors. Point-of-use storage: keep them at the station that uses the contents and staff never cross the kitchen for an ingredient. Limited capacity, but the fastest access of any option.
  • Cold room (walk-in cooler) — an insulated room, typically holding 0°C to 4°C, that you walk into. Bulk storage for fresh product, produce, dairy and prep. Sized in cubic metres; you can fit whole carcasses, trolleys of prep and a week's vegetables.
  • Walk-in freezer — the same construction, holding at or below -18°C for frozen stock. Often paired with a cold room: one for fresh, one for frozen.

Most growing kitchens end up with all three: a cold room for bulk fresh, a walk-in freezer for frozen, and reach-ins at the stations for speed.

Sizing: think in volume, not doors

Sizing cold storage is a volume problem:

  1. Estimate your peak stock — what's actually in the room at the fullest moment (usually the morning after a big delivery), not the average day.
  2. Add the working space — you need to walk in and reach everything. A room packed wall-to-wall can't be used; air has to circulate (more below).
  3. Think cubic metres, not square metres. High rooms store far more than the floor area suggests, especially with shelving to the top.
  4. Plan for growth. Cold storage is expensive to replace and disruptive to install — size for where the business is heading, not where it is.

A useful sanity check: lay out your busiest week's deliveries on paper. If the cold room can't hold a full delivery plus existing stock plus tomorrow's prep, it's too small.

Airflow and loading: the rules that keep it working

A cold room only holds temperature if air can move:

  • Never block the evaporator — the cooling unit needs clear space around its intake and discharge. Stock stacked against it means warm spots and a struggling compressor.
  • Don't stack to the ceiling — leave a gap between the top shelf and the ceiling for air to return. Most rooms have a marked maximum fill line; respect it.
  • Shelving, not floor stacks. Product on shelves cools evenly; product in a pile on the floor cools on the outside and stays warm in the middle — that's a food-safety problem, not just a storage one.
  • Keep the door closed. A propped-open door dumps cold air continuously. Strip curtains reduce the loss each time someone walks through, but the door still shouldn't stand open.
  • Load hot food only when it's cooled to the safe window first — a room full of hot trays will pull the whole room into the danger zone (see the fridge temperature guide for the cooling rules).

Where cold storage sits in the kitchen

Position it on the delivery-to-prep path (see the kitchen layout guide): goods come in, get checked and date-labelled, and go straight into cold storage without crossing the cooking line. A cold room at the far end of the kitchen turns every stock rotation into a cross-country trip — and every trip is a door opening.

Frequently asked questions

What temperature should a cold room hold?

The same safe range as any refrigerator: at or below the maximum safe holding temperature for fresh food, and verify it with a thermometer in the warmest part of the room, not just the unit's display. A cold room that reads fine at the sensor but has warm corners behind the stock isn't actually holding.

Can I convert a cold room into a freezer?

Not by turning the thermostat down. Freezer rooms are built with heavier insulation, a unit rated for the lower temperature, and usually floor heating to stop the floor freezing and lifting. A cooler converted without those changes will struggle, waste power and may fail.

How much space should I leave inside for airflow?

Keep the evaporator's intake and discharge clear, leave a gap above the top shelf for air return, and never pack a room wall-to-wall. Most rooms have a marked maximum fill line — stay under it. A room that's stuffed full isn't a cold room any more; it's an insulated box with warm spots.

Reach-ins or a cold room — which first?

Both, for different jobs: reach-ins are for speed at the station, a cold room is for bulk. If you're choosing one because of space or budget, a cold room gives more usable cubic metres per rand of insulation and replaces several reach-ins — but you lose point-of-use access, so the stations then depend on smaller undercounter units. Most operations settle on a cold room plus a few strategically placed reach-ins.
