Commercial Fridge Temperatures: Logs, Cold Chain and Load-Shedding
Refrigeration is the quiet backbone of every food business — until it isn't. A fridge that's silently running warm costs you in spoilage, and worse, in food safety. In South Africa, add load-shedding and summer ambient temperatures to the mix, and cold-chain discipline stops being optional.
This guide covers the required temperatures, the daily habits that catch problems early, how to handle deliveries, and what to do when the power goes.
The temperatures that matter
Under Regulation R638 and standard food-safety practice:

Two practical notes:
- Air temperature vs food temperature. The fridge's display shows air temperature, which fluctuates every time the door opens. The number that matters for safety is the food's core temperature — check it with a probe on the product that's been in longest/worst-positioned (top shelf near the door is usually the warmest spot).
- Set it lower than the limit. If the legal maximum is 5 °C, run at 2–4 °C so door openings and defrost cycles never push you over.
The daily log — 10 minutes that save you
Keep a fridge/freezer temperature log — paper on a clipboard or a simple spreadsheet. Twice daily (open and close of business is typical), record:
- Date, time, initials
- Each unit's display temperature
- A probe check of product in the worst spot (rotate which product)
- Any action taken
Why it matters:
- It catches drift early. A fridge slowly climbing from 3 °C to 6 °C over a week is a failing seal, a dying thermostat or an iced-up evaporator — all fixable before you lose stock.
- It's your defence. If there's ever a complaint or an inspection, weeks of logged temperatures are evidence of due diligence. "We keep fridges cold" means nothing; a dated log means everything.
- EHPs ask for it. Temperature records are a standard inspection item.
What causes fridges to run warm
The usual suspects, in rough order of frequency:
- Door discipline — propped doors, overloaded shelves blocking closure, torn or dirty gaskets that don't seal.
- Blocked airflow — product stacked against the evaporator fan or air channels. Cold air must circulate; a wall of boxes = warm pockets.
- Ice build-up — a non-auto-defrost unit (or a failing defrost system) insulating the evaporator.
- Dirty condenser — dust and grease on the condenser coils (usually underneath or behind, sometimes on the roof) make the unit work harder and hold higher temperatures. In a kitchen with flour and frying airborne, condensers need monthly brushing/vacuuming.
- Overloading — every unit has a load line or rated capacity; stuffed fridges can't recover temperature after door openings.
- Failing components — thermostat, fan, relay, or low gas. If temperatures drift despite clean coils and good seals, call the technician with your log in hand.
Deliveries: the cold chain starts at the door
Your fridge can only protect food that arrives protected:
- Check on arrival, before signing. Probe chilled and frozen goods (especially high-risk: dairy, meat, seafood, prepared foods). Frozen product should be frozen solid — soft or refrozen signs (ice crystals inside packaging, liquid at the bottom of the carton) mean reject.
- Refrigerated deliveries should arrive cold, ideally at or below 5 °C. A warm delivery is the supplier's cold-chain failure landing on your premises — and once you accept it, it's yours.
- Get it into your fridge immediately. The counter is not staging; half an hour of July sun on the loading area undoes hours of refrigeration.
- Keep delivery records — invoices noting date/time and any rejections. Patterns of warm deliveries mean changing supplier or delivery windows.
Load-shedding: the South African reality
Power cuts are a food-safety event if you're unprepared. The plan:
Before (when the schedule says it's coming)
- Pre-cool: drop fridges 1–2 °C below normal ahead of the outage to buy thermal mass.
- Freeze water bottles / ice blocks and keep them in fridges — they act as cold batteries.
- Don't take delivery of chilled goods into an imminent outage.
- Know your outage length (stage-based schedules are published) and plan production around it — don't start a cook-chill process two hours before a four-hour cut.
During
- Keep doors closed. A well-sealed, unopened commercial fridge holds a safe temperature for a surprisingly long time (commonly several hours); every door opening cuts that dramatically. Tape a "DO NOT OPEN — LOAD- SHEDDING" sign on it if staff discipline is an issue.
- Do not open freezers at all unless retrieving product for immediate use. Frozen stock that stays frozen solid remains safe; anything that thaws must be used immediately or discarded — never refreeze thawed product.
After
- Probe high-risk stock before serving or selling it. Fridge product that stayed at or below 5 °C is fine. Product that climbed into the danger zone: assess honestly against time — as a small operator, when in doubt, throw it out. The cost of discarded stock is far less than one food-poisoning incident.
- Log the event: outage window, temperatures found, stock discarded. This protects you (due diligence) and reveals whether you need a generator/UPS/solar investment for refrigeration.
- Let units recover fully (verify with probe, not display) before restocking them heavily.
If outages are routine in your area, a generator sized for refrigeration (refrigeration starting currents are high — get an electrician to size it) or a solar/battery setup for the fridge circuit moves load-shedding from crisis to inconvenience.

Frequently asked questions
My fridge display says 4 °C — do I still need a probe?
Yes. Displays can drift or lie (they measure one spot, usually near the sensor, not your product). A weekly probe rotation across shelves confirms the display is honest — and catches the warm corner where the milk actually sits.
How long is food safe in a closed fridge during an outage?
It depends on the unit, its load, ambient temperature and door openings. A full, well-sealed commercial fridge kept closed generally holds safe temperatures for a few hours; a near-empty one warms fast (less thermal mass). Don't guess — probe high-risk product when power returns and decide on the number, not the clock.
Is a domestic fridge acceptable for a food business?
For very low volume, some municipalities may accept domestic units that hold 5 °C and can be logged — but commercial units are built for door traffic, ambient kitchen heat, and cleanability, and they hold temperature far better under load. Ask your municipal EHP; and if you're buying, buy commercial.
