Commercial Coffee Machine Care: Daily Cleaning, Descaling and Consistency

A commercial espresso machine is one of the hardest-working and most neglected pieces of kit in a café. It runs hot, under pressure, all day, and it accumulates coffee oils and milk residue in exactly the places that change the taste of every cup. A dirty machine doesn't just make bad coffee — scale and neglect shorten its life and cause expensive breakdowns.

This guide covers the daily cleaning that keeps coffee tasting right, the periodic descaling that protects the machine, and the water quality that determines how often you'll need to do either.

Why coffee goes bad in a dirty machine

Two things build up:

  • Coffee oils turn rancid. Residue in the group head, portafilter and shower screen goes bitter and stale, and taints every shot. This is why a machine that isn't cleaned daily makes coffee that tastes increasingly harsh, no matter how good the beans are.
  • Milk residue spoils fast. Milk proteins and fats coat the steam wand and the internal milk system (on automatic machines), souring quickly and harbouring bacteria. This is a food-safety issue as much as a taste one.

Cleaning isn't optional maintenance — it's part of making the coffee.

The daily routine

At the end of every service (and during it, as needed):

  • Purge and wipe the steam wand after EVERY milk drink. Wipe with a clean damp cloth and purge a blast of steam to clear the inside. Milk that dries on the wand is very hard to remove and breeds bacteria.
  • Backflush the group heads with water at the end of the day (and with detergent on the schedule the manufacturer specifies — often daily or weekly depending on volume). Backflushing forces water back through the group to clear coffee oils.
  • Clean the portafilters and baskets — soak and scrub; the oils collect in the basket holes.
  • Wipe the group gaskets and shower screens, and soak removable screens.
  • Empty and rinse the drip trays, and clean the grinder's dosing chute and burrs of oil and fines.
  • Dedicated cloths — use separate, colour-coded cloths for the steam wand and for general wiping (the same logic as the colour-coded boards guide).

A machine cleaned daily stays consistent. A machine cleaned weekly never tastes right and wears out faster.

Backflushing: the deep clean

Backflushing (or "reverse flushing") uses a blank basket to build pressure and force water and detergent back through the group head, dissolving the oils that normal flushing can't reach. Do it with the manufacturer's coffee-machine detergent on their schedule. It's the single biggest taste-improvement maintenance step, and the one most often skipped.

Descaling: protecting the machine

Scale from hard water builds up in the boiler, heating elements and solenoids, reducing efficiency and eventually causing failures (see the water filtration guide for how scale forms). Descale on the manufacturer's schedule — how often depends entirely on your water hardness:

  • Test your water hardness first. A hard-water site needs far more frequent descaling, and a good filtration setup dramatically reduces it.
  • Descale with the right product and follow the machine's procedure — descaling an espresso machine is not a quick soak; it's a circulated process.
  • Prevention beats cure. A correctly specified water filter on the feed line is the cheapest descaling you'll ever buy.

Water quality is most of the cup (and the machine's life)

Coffee is mostly water, so water chemistry affects both taste and scale:

  • Filtered water improves taste and protects the machine. An unfiltered feed in a hard-water area scales the boiler quickly and makes flat-tasting coffee.
  • Match the filter to the machine — espresso machines have specific filtration requirements for flow and mineral content. Your machine supplier or water-treatment supplier can specify the right system.

Investing in good filtration up front is cheaper than descaling labour, element replacements and inconsistent coffee.
